New Trip Record

Trip Records can be helpful in the event you need to keep track of mileage and costs for reimbursement or other trip purposes. To add a new Trip Record to your vehicle, tap the Trip Record icon on the Console.

The New Trip Record screen will appear.*

*To customize which fields you wish to see, tap the  icon in the upper right hand corner and select Customize this screen.

Begin by tapping the Type field to log your trip under the appropriate option. The following menu will appear.

Select the option that best describes the purpose of your trip.*

*aCar's mileage reimbursement rates are based on IRS guidelines. However, keep in mind rates vary from year-to-year. To make adjustments, simply click the Tap here to manage this list! button. For more information on how to manage trip types, click here.

 

Once you've made your selection, tap the Checkmark  to return to the New Trip Record screen. Complete the Purpose and Client fields (information added to these fields will be saved for future use). You will also need to select the vehicle you wish to assign to this record in the Vehicle field.

Complete the Departure section by adding information to the Date/Time, Odometer and Location fields. If you are unsure of your current location, tap the  icon to activate the GPS options .

Tap the  icon and select Show on map to choose your current location.

Your current location will be shown via Google Maps.

To return to your Trip Record, simply click the back button on your device. Your current location will now be added to the Location field. Repeat the same process with the Arrival section.

The  icon to the right of the Odometer field will give you two options on how you would like this information displayed: 1) Absolute odometer reading, or 2) Distance from depature location. For further details on the differences between these two, visit New Fuel-Up Record.*

*You may be unable to complete the Arrival section until after you've reached your destination. If this is the case, save the existing Trip Record by tapping the  icon. To learn how to return and make edits to an existing trip record, visit the Browsing Existing Records section.

 

The Tax Deduction fields (Rate and Amount) will prepopulate based on the mileage reimbursement rate associated with the trip option you selected in the Type field. Amount is calculated using the mileage reimbursement rate multiplied by the number of miles driven (In this case, $0.575/mile x 15 miles = $8.62).

Check the box under Reimbursement to keep track of trips that have been reimbursed. Tap Tags to select the appropriate tags for this trip record. If you have created tags before, you’ll see them listed in the Tags menu (for more details on tags, see Tags). Tap Notes to enter any notes relevant to this trip record.

Once complete, tap the Save icon  in the upper right hand corner.

Adding Future Trips

Now that you've added a Trip Record to your vehicle, the next time you tap the Trip Record icon you'll be greeted by a new screen...

...with three different options to choose from.

1) A whole new trip

2) New trip from the destination of the last trip

3) Return trip for the last trip

Once you've made your selection, tap Okay at the bottom of the screen and complete the Trip Record as you would normally.

 
Create your own Knowledge Base
